Terms and Conditions for Safeguarding Reporting

  1. Purpose: The safeguarding reporting system is in place to ensure the safety and wellbeing of all service users. It is your responsibility to report any concerns related to abuse, neglect, exploitation, or harm promptly.

  2. Confidentiality: All safeguarding reports are confidential. Information shared in a report must not be discussed outside of the appropriate channels. Breaching confidentiality could result in disciplinary action.

  3. Accuracy of Information: All reports must be accurate and detailed. Factual information is essential for proper investigation and action. Avoid speculation or assumptions. Reports should include the full name, postcode, and all relevant details of the individual(s) involved.

  4. Timely Reporting: Any safeguarding concerns must be reported as soon as possible. Delayed reporting could put individuals at greater risk, and failure to report in a timely manner may lead to further investigation.

  5. Non-Retaliation: Any staff member who reports a safeguarding concern in good faith will not face retaliation. Reporting concerns is a vital part of maintaining a safe care environment.

  6. Follow-Up: After submitting a safeguarding report, you may be contacted for further information or clarification. Ensure you are available for any follow-up questions from the safeguarding team.

  7. Reporting Channels: Safeguarding concerns must be reported through the designated safeguarding form or by contacting the safeguarding lead or line manager directly. Do not use informal channels (e.g., group chats or personal messages) for reporting safeguarding concerns.

  8. False Reporting: False or malicious reporting is a serious offence. Any reports found to be intentionally false or misleading will result in disciplinary action, up to and including termination of employment.

  9. Compliance: All staff are required to comply with these terms and conditions when reporting safeguarding concerns. Failure to do so may result in disciplinary action.
